Where are your hours going?
I first wrote this sheet for a discovery conversation with a four-store grocer. Pick your kind of business and you get 18 tasks that usually still run on a person carrying data from one place to another.
Mark the ones that eat your week or wear on you. Skip the rest. It takes about five minutes, and you see your results right away.
Your results
Where I'd start
Your fix-first pick, then anything you marked as both a time sink and annoying.
What this one costs you
Optional. Two numbers, nothing stored.
What I'd need to know next
Whether a fix is worth building depends on a few things the checklist can't ask.
- Which system holds the record today, and whether it exports or has an API.
- Roughly how many of these come up in a week.
- What the exceptions look like, and who decides them.
- Who approves anything that goes out to a vendor, a customer or the books.
What I'd look at building
- Make Your Tools Talk
Your POS, accounting and inbox, passing data without a person in the middle.
- Handoff
Money you're owed, tracked until it's in the bank.
- Ask-Your-Data
Ask how the business is doing in a sentence. Get the numbers back.
- Ask-Once
Give the instructions once. Your team asks the assistant after that.
- Team Sessions
A half day with your team, on their real work, with a follow-up.
