Handoff
Money you're owed, tracked until it's in the bank.
Who it's for: Small businesses where money gets promised and then forgotten. Vendor credits, distributor deductions, customer balances, pledges, deposits.
The problem
Someone promises you money, and then nobody follows up until it's too late to collect.
What I build
- A running list of everything owed to you, pulled from where it already lives. Credits you requested, invoices that don't match a receipt, deductions you didn't agree to, customers who haven't paid.
- Follow-ups to vendors, distributors or customers, drafted and queued for you to approve.
- Deadline tracking, so a dispute window or a claim cutoff doesn't pass while nobody's looking.
- An aging report that shows what's outstanding, by who owes it, in dollars.
What you have in 30 days
- Everything owed to you in one place, with an owner, an age and a deadline.
- Follow-ups going out on a schedule instead of when someone remembers.
- A monthly number: dollars recovered that would have been written off.
Fixed price, set in the Walkthrough.
One workflow, acceptance criteria written down first. What sets the price
Questions
- Does it send emails to vendors on its own?
- Not unless you want it to. By default it drafts and you approve. You can loosen that later, vendor by vendor.
- What systems does it work with?
- It starts from what you have, whether that's POS receiving records, an accounting export, an AP inbox or a spreadsheet. The Walkthrough tells us which.
- What kinds of money does it chase?
- Whatever leaks at your business. For a grocer or restaurant that's credits for short and damaged deliveries, and invoices billed above the agreed price. For a food brand it's distributor deductions and billbacks with a dispute deadline. For a contractor it's customers who still owe on finished jobs. For a nonprofit it's unpaid pledges and failed monthly gifts.
- Is this only for grocery?
- No. It started with a grocer's vendor credits, and a brewery described the same problem as expense reconciliation. Anywhere money gets promised and then forgotten, this fits.
